Public bodies work to different rules than companies: procurement, documentation, payment after completion. The process here is set up for that.

In an authority, data loss is rarely a single technical problem. What is affected are records built up over years that cannot be recreated: building files, personnel matters, council documents, measurement series, map data. On top of that comes a second problem companies do not have in the same form – the route to placing the order. It needs a written quote, verifiable company details and an invoice that passes the accounting office.

Both come from one place here. The analysis costs nothing and commits you to nothing; the quote that follows is written so that it can be put before a procurement office.

Placing the order without detours

Most data recoveries sit in an order of magnitude where a formal tender is not required. For a direct award or a negotiated procedure below the thresholds we supply everything the file needs: description of the work, fixed price, expected duration, commercial register and VAT details.

The invoice is issued after completion, with your purchase order number and the details your accounting office requires. If invoices are processed electronically on your side, tell us in advance in which form it should be submitted – that is clarified before handover, not afterwards.

Urgent cases can be prioritised. If a procedure or a deadline is at stake, say so on the first call. Within our region we also collect the medium instead of waiting for the post.

Where the orders come from

Typical bodies we work for – wherever documents have official character or measurements cannot be repeated.

Municipal administration

Town and municipal authorities, building and registry offices, depots and municipal enterprises. Usually a specialist application on an older server or archives on a NAS.

Education and research

Schools, universities and research institutes. Here it is often measurement series and evaluations whose repetition would cost months – or would not be possible at all.

Utilities and emergency services

Municipal utilities, special-purpose associations, fire services and rescue services. Alongside the data there is an operation running that cannot wait.

Confidentiality and documentation

Before handover we conclude a data processing agreement under Art. 28 GDPR. It sets out which data we process for what purpose, how it is secured, that no one is brought in without your consent, and that everything is deleted after completion. A declaration of confidentiality from the people involved can be added on request.

After your release, image and working copy are deleted and confirmed in writing with a date. If a defective medium is not to be returned but destroyed, the procedure and the documentation are agreed with you beforehand.

What we do not offer, we say just as clearly: we are not cleared for classified material. If your case comes from that area, talk to us first so we can establish whether processing would be permissible at all.

Frequently asked questions

Do we get a quote for procurement?

Yes. After the free analysis you receive a written quote with a description of the work, a fixed price and the expected duration – in the form your procurement office needs.

Which company details do you supply for our files?

Do you invoice after completion?

Yes. Public bodies pay by invoice after completion, with the purchase order number and the details your accounting requires. We do not ask for prepayment.

How is data protection handled?

Through a data processing agreement under Art. 28 GDPR, concluded before handover. On request, the people involved also sign a declaration of confidentiality.

Do we receive proof of deletion?

Yes. After your release, image and working copy are deleted and we confirm this in writing with a date, so the matter can be closed in your processing records.
